Booking Working Lists

When arriving in the office or starting your working day managing your holiday property, the first section you should go to within your admin is the Bookings section. Within here you will see all future bookings for your holiday property. Above the list of bookings you will see numerous tabs - within StayTech we call these tabs Working Lists as displayed below: 

Recent Bookings Tab 

When selecting the Recent Bookings tab it will order the bookings depending on the date in which the booking was created. You will notice in the screenshot above that the Booking ID descends determining which one is 'more recent'. The higher the Booking ID the more recent the Booking is. 

So if you would like to view the most recent bookings > select the Recent Bookings tab. 

Awaiting Deposit 

The Awaiting Deposit tab when selected will display all bookings that have still not paid their booking deposit. Within the working lists this tab, we feel, is the one that you would concentrate on first - all bookings that have had no payments made against them will remain provisional.

Selecting the Awaiting Deposit tab will display all bookings that have had no Booking Deposit made against the booking > if you would like to prompt the guest to pay this you can add a Hold Until date, if the guest hasn't paid the booking deposit by the date set it will automatically cancel the booking. 

Navigate to the Details / Edit section of the booking and enabled the On Hold checkbox and add a date as displayed below: 

Awaiting Terms

The Awaiting Terms tab when selected will display all those bookings that haven't yet agreed to your Terms & Conditions > if you would like to update your T&C's click here to see our example. 

Once selected it will display all bookings that haven't yet agreed to the terms and conditions of the booking. 

Awaiting Guests

If you are using our party flag system and you require all guest information, the bookings that haven't yet added all their guest information will display within here. Depending on the reminders settings within your admin will determine how often emails go out to the guest asking them to add this information against their booking. 

Awaiting Full Payment 

The Awaiting Full Payment tab displays all bookings that haven't paid anything towards their booking and the full amount is now due. The bookings within here are ones that you should focus on when logging in to your admin. 

Awaiting Final Payment 

Selecting the Awaiting Final Payment tab within the Bookings working list will display those bookings that have had payments made against them by the guest but the final payment for their stay has not yet been paid. All bookings within here don't have outstanding payments that are due today. 

Final Payment Due

The final payment due tab includes all bookings where the customer will be required to pay the full amount of the booking. All bookings within here will receive daily payment overdue emails unless specified otherwise within the Email / Reminder section. 

If communications are turned off against the booking no emails will go out the guest so you will need to chase said guest for the final payment. 

Awaiting Check in View

This working list contains all bookings where the check in details are now available to the guest but the lead booker has not yet viewed them - the system will send out reminders to the guest to explain that the check in details have not been viewed. 

On Hold

Any booking offers / bookings that have an on hold until date will sit within here. Once the booking is seen as confirmed by the system it will remove said booking from the list. Provisional bookings are ones that have no payments made against them and the T&C's have not yet been agreed to. 

Cancellations 

Once selected you will see a drop down menu which contains two options: 

Cancellations: Bookings with money paid towards them that have either been manually cancelled or automatically cancelled because they went past their 'on hold until' date.

All Cancellations: All bookings that have been cancelled either automatically or manually.

Expired 

This working list contains all bookings that have been automatically cancelled, these bookings have been cancelled as they have now gone past the on hold until date. 

Immediate Arrivals

The Immediate arrivals list will contain all bookings that are due to arrive within 2 weeks. We would recommend that you look over the bookings within here to ensure they are complete. 

Awaiting Configuration 

Within here the bookings that are displayed are those that require the guest to add their configurations and the configurations have not yet been provided.

Due Configuration

Bookings that require a configuration and where the configuration is now due but where that configuration has not yet been provided.

Party Flags 

If you're using the party flag system within StayTech then all those bookings that are made up of either an all male party, all female party, all under 30 or over the maximum number of occupants the property can sleep will display within here once selected.

Inconsistent Cuts 

Bookings that have had their cuts overridden where the owner and agency split does not add up to the booking total.
